Administration Assistant

Salary indication: £15,000 to £20,000

Necessary skills and qualifications
  • Excellent ability to communicate in English
  • Keen to share knowledge, to learn and develop new skills
  • Good general computer skills, particularly, Excel
  • Must be able to work both independently and as part of a team

 

Useful but not essential

  • Previous production/procurement management experience

 

Purpose of the Job

The Administration assistant will support the operations team carry out a number of support tasks. Primary areas of work will include production planning and purchasing and general administration support for the Operations team.

 

Organisation & Reporting

  • Direct Line Manager : Managing Director (Technical)
  • Functional Leadership & Reporting : Will work closely with the Supply Chain management team, and other areas within the Operations team.

 

Network & Links

  • Supply chain management team, assisting with production planning and procurement
  • Centralised function which supports Engineered Solutions, Standard Products, Spares and Service and the company in general
  • Production demands for standard products will come from the distribution managers
  • All purchase requirements for engineered solution projects will be raised by the project managers
  • Spares and service demands will originate with the spares and service department
  • Miscellaneous purchases will be received from a variety of personnel
  • Keep internal client well informed at all stages of the procurement or manufacturing process
  • Inform management of any significant project development, problem or progress
  • Ensure all purchased or manufactured components or services are correctly specified to suppliers and assist with the expediting of purchased components and services when necessary
  • Wider network
    • All sales, after-sales and operational teams
    • Management Team members and all group Management Teams
    • Employees globally, in particular sales, project, proposal and engineering teams, procurement, quality, site erection and commissioning team members.

 

Mission & Objective

  • Production planning and control
    • Register and plan production requirements effectively to achieve the required specification and delivery
    • Raise demands for all components and services required to manufacture products
    • Assist in the management of the production and assembly process
  • Purchasing
    • Register and plan purchase demand, request quotations from multiple suppliers
    • Negotiate the best terms possible to secure quality, delivery and specification
    • Expedite the delivery when required
  • Ensure compliance with business/ clients quality systems, relevant standards and controls.
  • Any other task which may be reasonably requested
